Dental and medical clinics: common questions

How do you handle PHIPA and HIPAA?

They are rules the build has to respect: PHIPA for Ontario clinics, HIPAA for US practices. Patient records stay in systems you have approved, the agent reads only the fields each task needs, and every access is logged. Before any patient data flows, we review the model provider's data terms with your privacy officer, including a business associate agreement where HIPAA requires one.

Will the agent give medical or dental advice?

No. It answers administrative questions only. Questions about symptoms, treatment or medication go to your clinical staff, and the agent tells the patient someone will follow up.

What if a patient describes an emergency?

Messages that mention things like swelling, heavy bleeding or severe pain get an immediate reply telling the patient to call the clinic or emergency services, and your staff are alerted. The agent does not assess or triage.

Does it work with our practice management software or EMR?

It depends on what your vendor allows. Some systems have an API for booking and reminders; others only export reports, and there the agent works from the export and sends bookings to staff to enter. We check your system first and tell you plainly what is possible.

Can staff see and take over conversations?

Yes. Every conversation is visible to the front desk, and staff can reply at any point, which stops the agent on that thread.
